What to write in a wedding invitation: wording and examples
The essential information, the optional extras and wording that works: real examples for classic and digital invitations.
By The Coconut Wedding Team

Facing the blank page (or screen), every couple asks the same question: what do we write? This is the checklist we use on every project, from the bare essentials to the details that make the difference.
The essentials
- Your names — obvious, but decide the order now and stay consistent.
- Full date and time of the ceremony (with arrival margin noted).
- Venue with the exact address, not just the estate's name.
- How to RSVP and by when: the deadline is the difference between a closed guest list and a month of uncertainty.
Highly recommended
- The day's timings: ceremony, cocktails, dinner, party.
- Dress code, explained in human terms: "long dress not required, heels tricky on grass" beats "strict formal attire".
- Transport and parking: shuttle times, where to park, taxi numbers.
- Accommodation: two or three options with rough prices (and a discount code if you have one).
None of this fits on a paper card — which is why more and more couples put the essentials on paper and the rest on a wedding website with RSVP.
Wording that works
For the cover, three tones that never fail:
- Classic: "Together with their families, Emma and James request the honour of your presence at their wedding."
- Warm: "We are getting married! And it would mean the world to celebrate it with you."
- Editorial: "Emma & James. 12 September 2026. Mallorca. The rest, we would rather tell you in person."
For the RSVP, clarity first: "Please confirm by 1 August — it takes a minute and helps us enormously with the catering."
Three complete templates you can copy
So you do not start from zero — three full invitations in different tones. Swap the names and details:
Classic
Together with their families, Isabel and Álvaro request the honour of your presence at their marriage.
Saturday 17 October 2026, at 12:30 Church of San Miguel · Seville Reception to follow at Hacienda Los Olivos.
Kindly reply by 1 September.
Warm
We're getting married! Marta and Guillem
We would love you to celebrate with us on Saturday 23 May 2026, from 5 pm, at a farmhouse in the Empordà.
There will be a shuttle, a long dinner and dancing until late. Let us know by 1 April and we will save your seat.
Editorial
Emma & James 12 · 09 · 2026 Mallorca
Ceremony at 6 pm, as the sun drops. Everything else — getting there, where to stay, what to wear — is here.
Please reply by 1 August.
Wording the difficult parts
An adults-only wedding
The most delicate one. What works is being clear and warm, never ambiguous:
"We would love to have the little ones there, but space means we have decided on an adults-only celebration. We hope you enjoy the night off."
And in the RSVP: if the form does not let guests add children, the message lands without repeating it.
Gift registry or money
Never on the cover and never as a direct request. At the end, in one line:
"Your presence is all we need. If you would still like to give something, here are our details."
A dress code people understand
Compare these two:
| ❌ Unhelpful | ✅ Helpful |
|---|---|
| "Black tie" | "Dark suit and long dress. The ceremony is on the lawn — thin heels struggle on grass." |
| "Smart casual" | "Comfortable but put together: chinos and a shirt, midi dress. No jeans." |
| "Beach wedding" | "Linen and light colours. There is a 200 m walk over sand, so flat shoes or barefoot." |
The difference: the right column gives the ground, the time and what you expect to see.
What to leave out
- The full love story (that is what the website's "About us" section is for)
- The gift registry front and centre
- Anything likely to change — which ages badly on paper, as we explain in the digital vs. paper comparison
- Photo and social-media rules on the cover (better in the FAQ)
- Abbreviations or in-jokes half your list will not get
The most common wording mistakes
Giving only the weekday and month. "Saturday 12 September" with no year invites questions when the wedding is eleven months out. Always include the year.
No arrival time. If the ceremony is at 6 pm, say "we will be welcoming you from 5:30". It stops half the room arriving on the dot.
Writing "punctuality appreciated" and nothing else. Giving the reason works better: "the ceremony starts on time because we want to catch the light."
Leaving the RSVP to the very end. It should be visible from the start and repeated at the close.
